As our HR & Office Manager you own the two areas that shape everyday life at Aegir: Our people processes and our office. You make sure colleagues are well looked after from their first day onwards, that our annual people cycle runs on time, and that our office in Havnegade is a place people enjoy coming to. You are the person colleagues turn to with the practical questions, and you will quickly become one of the people everyone in the company knows and relies on.
The role is part-time, around 20 hours per week across 2–3 days in the office, with flexibility to agree the exact schedule with us.
Your key tasks will be to:
- People operations: Own the employee lifecycle end to end, so that a new colleague's first day, and their last, is well prepared and feels well handled.
- Be the trusted first point of contact for colleagues on everyday HR matters, from leave and absence to our policies, working closely with our external finance and payroll partner.
- Drive our annual people cycle, including the people review process, the employee satisfaction survey and the yearly review of our policies.
- Own our culture calendar and the traditions that bring the team together, from the summer and Christmas parties to farewell gatherings and our running and wine clubs.
- Take full ownership of our office in Havnegade, including our relationships with our building operator, IT partner and everyday office suppliers.
- Keep day-to-day company administration running smoothly, including shared mailboxes, documents for signature and internal office communication.
- Support finance administration in cooperation with our external finance company, mainly around vouchers and approvals.
We imagine that you:
- Have experience from HR administration, office management, reception, people operations, administration, or a similar practical and service-oriented role.
- Enjoy being close to people and processes at the same time, and take genuine pride in colleagues having a good experience at work.
- Are organized and structured, and enjoy being the person who keeps track of the details.
- Work independently, take ownership of your tasks, and follow through without being asked twice.
- Are comfortable communicating in English, as this is our company language. Danish is an advantage, as several of our suppliers and partners communicate in Danish.
- Are comfortable with everyday digital tools such as Outlook, Slack and Excel, and are curious about learning new ones, including AI-native workflows.
Your competences include:
- A service-minded and pragmatic approach, with a can-do attitude to practical problems.
- Strong coordination skills across several small tasks and deadlines at the same time.
- Clear and friendly communication with colleagues, suppliers and candidates alike.
- Discretion and good judgement, as you will handle confidential company and employee information.
